How to shortlist a freelancer for your project

Turn the brief into selection criteria

A shortlist starts with requirements you can explain. For a website, these might be experience with your platform, a working form, and an understandable handover. For a video, they might be dialogue editing, caption accuracy, and delivery of agreed formats.

Divide your sheet into required capabilities and preferences. A candidate who misses a required capability should not be rescued by an impressive unrelated portfolio. Preferences help distinguish otherwise suitable people, but should not change the task halfway through comparison.

Look closely at relevant work

Ask which part of a portfolio example the freelancer personally handled. A finished website may involve separate work by a designer, developer, copywriter, and photographer. Its appearance alone does not establish that one person performed all those roles.

Choose examples with constraints similar to yours: content volume, language, platform, or production material. A cinematic brand film does not necessarily demonstrate skill in cleaning up a remote interview. A complex shop may not tell you how easy a brochure site will be to maintain.

Ask about existing work without requesting confidential client data or unpaid new production. Useful questions concern the original brief, inputs supplied, and files or instructions handed over.

Ask consistent questions

Send a concise description and a few meaningful questions:

1. Which deliverables in this brief are included in your proposed scope?
2. What do you need from us before you can begin?
3. Which similar project demonstrates the relevant part of your work?
4. What assumptions or exclusions should we resolve?
5. How will you handle feedback, revisions, and handover?

Judge answers for specificity, not instant response speed. Time zones and working hours differ. A thoughtful question about missing inputs may be more useful than an immediate promise to do everything.

Compare evidence without inventing precision

Use notes such as “demonstrated,” “needs clarification,” and “not included.” These are more honest than numerical scores for qualities you have not tested.

Fiverr explains that search recommendations involve relevance and personalization. Treat result position as a discovery aid, not an independent quality assessment. Read profile information and reviews in context, while keeping your requirements central.

Use a paid pilot when uncertainty matters

For ongoing work, a representative paid pilot can answer questions a profile cannot. Define a usable deliverable: one product description or one edited clip, for example. Explain how you will evaluate it without promising a larger contract.

The pilot should resemble the planned work. Testing a writer with a social caption says little about their ability to structure a technical service page. Avoid splitting large production tasks into disguised free samples.

Finish with a scope decision

Choose the candidate whose evidence and offer fit the brief, or pause if none does. Keep a written explanation of the decision and unanswered questions. Ask the freelancer to put the agreed scope into the offer. Custom offers can capture tailored work, but you still need to read what is included.
